2. Personal information we collect
We collect personal information such as your name, email address, phone number, date of birth, and payment information when you book or use our counseling services, contact us, or use our website.
3. Special care-required personal information
Because we provide psychotherapy and counseling services, information disclosed during sessions or intake (such as mental health history, diagnoses, or other health-related information) constitutes "special care-required personal information" (要配慮個人情報) under the APPI. We obtain your explicit consent before acquiring this information, and we do not acquire, use, or provide it beyond what is necessary to provide our services, except where permitted by law.
4. Purpose of use
We use personal information for the following purposes:
- To provide, operate, and manage counseling and therapy sessions
- To confirm bookings and communicate with clients
- To process payments and billing
- To respond to inquiries and provide customer support
- To improve our services and website
5. Provision to third parties
We do not provide personal information to third parties except:
- With your prior consent
- Where required by law
- To process payments, confirm bookings, and video-conferencing
6. Cross-border transfer
We use Setmore for appointment booking and Google Meet for online counseling sessions, both of which are operated by companies based outside Japan and may process or store personal information (such as your name, email address, and appointment details) on servers located overseas, including in the United States.
We select these providers based on their published privacy and security standards and only share the personal information necessary for booking and delivering your sessions.
7. Safety management measures
We take reasonable organizational, physical, and technical measures to prevent unauthorized access, loss, destruction, falsification, and leakage of personal information, and provide appropriate supervision of our employees and any subcontractors who handle personal information.
8. Disclosure, correction, and suspension of use
You have the right to request disclosure, correction, addition, deletion, or suspension of use of your personal information, and to request that we stop providing it to third parties, in accordance with the APPI. To make such a request, please contact us at reachout@therapyjp.com. We will respond after verifying your identity, within a reasonable period.
